Well didn’t videoconferencing just take off? Whoosh!
Now that we are all doing so much business communication this way, instead of in person, the problems inevitably show up more clearly. Security, for one.
There are excellent, pro-level products out there, and many good reasons for choosing them. We at Upland use Zoom a lot (not exclusively), because it’s easy to access, easy to use and kind of universal. Everyone’s got it, everyone gets it. We use a simple protocol to keep ourselves and our clients as safe as is reasonable from villains.
- Find out how to create a strong password, use one, and change it regularly.
- Have a paid account. Not expensive. You get more security-related options, and we suspect you get fewer freeze-frames and audio stutters.
- Require a meeting password for all meetings. Only those who’ve got the actual invite will be able to join the meeting.
- If you’ve got more than a few people coming, use the meeting waiting room. Nobody gets to join until you let them.
- Don’t use your personal meeting ID – use a new ID for each meeting.
- Turn off your camera before you get up to stretch and walk around. Are those trackie pants really ready for prime time?
There is no watertight security, on anything. Zoom is fit-for-purpose a lot of the time, it keeps improving, and it’s not hard to manage the major risks.
